Mail Invoices Online

Print and mail invoices via USPS — directly from QuickBooks, FreshBooks, Xero, and more

Stop Printing, Folding, and Stamping Invoices by Hand

Mailform connects directly to your accounting software and mails your invoices via USPS — without a printer, stamps, or a trip to the post office. Import invoices from QuickBooks, FreshBooks, Xero, Harvest, FreeAgent, Clio, or Zoho Books, and Mailform handles the rest: printing, folding, stuffing, and mailing.

Pricing starts at $2.99 for the first page, plus $0.49 for each additional page. That includes printing, a standard envelope, and USPS First Class Mail postage. Add a pre-addressed return envelope for $0.50 more — a simple way to make it easier for clients to pay you back.

Supported Integrations

Mailform imports invoices directly from:

You can also upload invoices manually as PDFs if you use a different tool.

How It Works

  1. Connect your accounting software — Link QuickBooks, FreshBooks, Xero, or another supported integration in your Mailform account settings.
  2. Import your invoices — Mailform pulls in your unpaid or unsent invoices automatically. Filter by date range, status, or client.
  3. Choose your options — Select First Class or Certified Mail, color or black-and-white printing, single or double-sided, and whether to include a return envelope.
  4. Confirm and send — Review the recipients and hit Send. Mailform prints, folds, stuffs, and drops your invoices at USPS on your behalf.

Bulk Invoice Mailing for Multiple Clients

If you send invoices to dozens or hundreds of clients each month, Mailform's bulk mail tool lets you mail them all in a single batch. Upload a CSV with recipient addresses, attach one PDF or individual PDFs per recipient, and send everything at once. Volume discounts apply for large batches.

W-2 and 1099 Mailing

Mailform now supports W-2 and 1099 mailing — upload your tax documents and mail them to employees or contractors via USPS without printing anything yourself. This feature is especially useful at year-end when you need to get forms out quickly and accurately.

Why Mail Invoices Instead of Emailing Them?

Some clients simply don't pay attention to email. A physical invoice in the mail is harder to ignore, signals professionalism, and is often required by certain industries or government agencies. Law firms, contractors, healthcare providers, and service businesses frequently use Mailform to reach clients who pay by check or require paper documentation.

How Mailform Compares

Services like Melio and Bill.com focus on digital payments and ACH transfers. Lob is built for developer teams with API-first direct mail at enterprise scale. Mailform is different: it's built for individual freelancers and small businesses who need to occasionally or regularly mail a physical invoice via USPS, without a developer, without a monthly contract, and without a minimum order.
